We define in advance which system or file acts as the source of truth. Depending on platform and workflow, data can be exchanged per movement, daily, weekly or at another agreed interval. We only describe information as real-time when a suitable integration demonstrably supports it.

Inventory management is more than storing products
Storage describes the physical location of a product; inventory management explains how many units are available, which stock has already been reserved and which movements still need processing. We therefore begin with consistent product master data. SKU, description, size, colour, collection and personalisation details must be unambiguous so an inbound carton or returned garment can be assigned to the correct variant.
Inventory changes through goods receipt, embroidery, printing, assembly, pick and pack, shipping, returns, damage and corrections. We agree when each movement is recorded and who assesses exceptions. This makes it possible to distinguish between physically present, available, reserved, in production, blocked and returned stock. Clear statuses reduce the risk of promising the same garments to more than one order.
Together we determine the information and reporting frequency your team needs. This may range from periodic reports to a data flow through the agreed webshop or ERP workflow. Minimum levels, warning thresholds, fast-moving lines, slow stock and expected peaks can be reviewed. AJDN can flag unusual differences or declining availability, while purchasing and collection planning remain based on your brand’s agreements and sales forecast.
Checks are part of a reliable process. Inbound quantities can be compared with supplied information, while cycle counts or targeted checks help identify differences between physical and recorded stock. When an exception appears, we record the correction and investigate whether it relates to a wrong size, damage, a return, production usage or an unprocessed order. Inventory management then becomes a continuous improvement process instead of a static list.
Because inventory management connects to AJDN storage, production, fulfilment and returns, the same product information can support the complete workflow. Blank garments can be reserved for personalisation, finished products can wait for dispatch and approved returns can become available again. During onboarding we document roles, reporting, exceptions and escalation so your team knows which information it will receive and when action is required.
Business terms
Inventory rules agreed in advance
No standard minimum
There is no standard minimum stock per size or colour unless AJDN and the customer agree one.
Stock ownership
Purchased and printed customer stock remains the customer’s property. Unprinted AJDN garments are not charged in advance and remain AJDN property until ordered.
One agreed source
Stock may be maintained in the customer’s webshop or software, AJDN administration or the AJDN App. We document which source is authoritative.
Insight without overpromising
Customers can receive real-time insight into their own stock. Real-time visibility of general AJDN warehouse stock is only promised once demonstrably available in the App.
Low-stock action
At an agreed minimum, the customer is notified or AJDN orders replenishment according to the documented workflow.
Additional check
An extra stock check or periodic inventory costs €50 per assignment and takes place only after approval.

How does AJDN manage apparel inventory?
We record agreed movements by SKU, size and colour. Before setup we document which system or file is authoritative and how often data is exchanged.
Do I get real-time stock visibility?
Real-time insight can be provided for customer-owned stock when the selected connection supports it. AJDN does not promise general real-time warehouse stock before it is demonstrably available in the App.
Is there minimum stock per size or colour?
Not by default. AJDN and the customer only document minimum or maximum levels when the customer requests them.
What happens when stock is nearly sold out?
AJDN notifies the customer or orders new items according to the agreed minimum stock and workflow.
Can returns be added back into stock?
Yes. After inspection and assessment, suitable returns can be repacked, registered and made available again.
What does an extra stock check cost?
An extra stock check or periodic inventory costs €50 per assignment, excluding VAT, and only takes place with prior approval.
Can inventory management connect to production?
Yes. Stock can connect to on-demand production, DTG, DTF, DTM, embroidery, fulfilment and shipping.
